1. Introduction
Under the data protection legislation in force (including the EU GDPR and the Portuguese Law 58/2019), DIGIPIV DIGITAL SOLUTIONS UNIPESSOAL LDA (hereinafter “DIGIPIV”, “we”, “us”, or “our”) is the Data Controller for our business relationship data and a Data Processor for the data you host on our platforms.

2. Personal Data We Collect
We collect and process personal data based on the legal necessity to perform our contract with you or to comply with legal obligations:
- For Billing and Administration: Name, VAT number, physical address, and contact details.
- For Training and Coaching: Trainee name, telephone number, and email address.
- For Business Consulting: CEO/Manager name, telephone, address, preferred social communication channels, and business financial data for trend analysis.
- For Digital Marketing and CRM Implementation: Login credentials, domains, hosting details, server access, and social media account access.
- For Service Delivery (Meeting Data): Video recordings, audio, and transcriptions of meetings or training sessions.
3. Your Rights
At any time, you have the following rights regarding your personal data:
- Access and Rectification: The right to access your data and correct any inaccuracies.
- Erasure and Portability: The right to have your data deleted (subject to tax law retention) and the right to receive your data in a structured format.
- Restriction and Objection: The right to limit or object to certain processing activities.
- Automated Decisions: The right not to be subject to decisions based solely on automated processing (Note: DIGIPIV does not currently use automated profiling for client decisions).

4. Data Retention
- Billing Data: Retained for 10 years to comply with Portuguese Tax Law, after which it is digitally deleted.
- Project/Digital Data: Retained for the duration of the business relationship. Once the relationship ends, data is deleted or returned to the client, subject to our backup retention policies.

International Data Transfers: For providers based in the USA, DIGIPIV relies on the EU-U.S. Data Privacy Framework or Standard Contractual Clauses (SCCs) to ensure your data receives a level of protection equivalent to that in the EU.
6. Communication Platforms
We use WhatsApp, Telegram, Facebook, Instagram, and LinkedIn for client communication and community groups.
- Joining these groups is voluntary.
- By joining, your profile (name, photo, and phone number) may be visible to other members of that specific restricted workgroup.
- You may leave these groups at any time without affecting your core service contract.
7. DIGIPIV Community
Our community area allows clients to share information and attend training. You are responsible for the information and photos you choose to post on your profile within this portal. Access can be cancelled at any time.
8. Cookies
Our websites use cookies to improve performance and analyse traffic via Google Analytics.
- Necessary Cookies: Required for secure login and payment (e.g., Stripe).
- Analytical Cookies: Help us understand how you use our site (e.g., Google Analytics).
- Management: You can manage or block cookies via your browser settings. Blocking cookies will not prevent access to our websites, though some features (like the CRM login) may be affected.
9. Confidentiality and Security
DIGIPIV is committed to the confidentiality of your business data. We implement technical and organisational measures, including:
- Encrypted password management via 1Password.
- Confidendiality agreements signed by all staff and subcontractors.
- Data processing limited strictly to the instructions provided by the Client.
